BECOME A VENDOR

The Lexington County Peach Festival will be held on July 4, 2024 at the Gilbert Community Park in Gilbert, SC. If you’re interested in becoming a vendor for this year’s event, you’re in the right place! We are so excited to meet you and see what you got!

We have made some adjustments to the Art & Craft Vendor program for 2024 and are introducing a Food Truck Market in an effort to elevate the vendor and guest experience. Before applying, read our rules and guidelines thoroughly.

WE ARE PRODUCER FOCUSED

The Peach Festival is producer focused. If you are local/regional and you make it, grow it, refurbish it, up-cycle it, or are an eligible non-profit, you are invited to apply! Priority will be given to makers and producers. Retail and commercial vendors are still welcome to apply.

CRAFT VENDOR MARKET: We will have approximately 140 craft vendor spaces available for the 2024 event.

FOOD TRUCK MARKET: New for 2024, we are introducing a food truck market with limited spaces available.

DIMENSIONS

CRAFT VENDOR SPACE DIMENSIONS are exactly 12’ x 12’. If more than 12’ are required, you must purchase an additional space at the full rental rate. If you show up on the day of the festival and your equipment does not fit within the space requested and paid for, you will be asked to modify your set up or you will be denied entry to the event. Your vendor fee will be forfeited and will not be refunded.

FOOD & BEVERAGE VENDOR SPACE DIMENSIONS are at minimum 20’ x 10’. You will be asked for specific dimensions of your set up within the application.

POWER AVAILABILITY

CRAFT VENDORS will have access to ONE (1) 110V 15A outlet (these are your standard 3-pronged plugs). You are required to bring your own extension cord. You will only be able to run and operate low drawing equipment such as a rotating fan, phone charger, card reader. You are not permitted to plug high drawing equipment like cooking equipment, A/C units, power tools, ice makers, etc into our outlets — doing so will overload our network and trip the breaker. If you need additional power to operate, you must bring a quiet inverter generator or other independent quiet power source.

FOOD & BEVERAGE VENDORS will not have access to festival-provided power. You are responsible for bringing your own independent power source such as a quiet inverter generator. We kindly request only “Honda Super Quiet” or equivalent quiet-inverter generators (max 60 decibels) be brought to our event. Please check your decibel output before using it at the festival.

VENDOR FEES

  • Makers / Producers: $100 per space

  • Non-Profit / For-a-Cause: $100

  • Retail / Services: $225 (receives complimentary full-page ad in our program book)

  • Food & Beverage: $550

LICENSE REQUIREMENTS

Vendors are required to provide proof of the following licenses and documentation, as applicable:

SOUTH CAROLINA DEPARTMENT OF REVENUE: All vendors must submit a copy of their retail license (where applicable) with the application. Vendors are responsible for the collection of sales tax on items sold and must remit said taxes to the South Carolina Department of Revenue. Please note that the Lexington County Peach Festival does not provide legal or tax advice. All regulations and requirements can be found on the SCDOR website or by calling 1-844-898-8542 Option 2 then Option 3.

TOWN OF GILBERT: Food & Beverage Vendors must obtain a license from the Town of Gilbert. You will be required to obtain and provide proof of this permit 15 days prior to festival date. Failure to do so will result in forfeiture of vendor spot. 

Craft Vendors do not need to secure a business license with the Town of Gilbert. The Lexington County Peach Festival will process a business license for the Town of Gilbert on your behalf. This permit will be good for the day of the festival only.

CERTIFICATE OF INSURANCE: All Food & Beverage Vendors must submit a certificate of insurance and list the GILBERT COMMUNITY CLUB PO BOX 62 GILBERT, SC 29054 as additional insured. Applications without an insurance certificate will not be processed.

FIRE-RETARDANT CERTIFICATION: All Food & Beverage Vendors that are cooking on-site are required to provide a copy of their fire-retardant certification for the Fire Marshal to review.

GENERAL RULES & GUIDELINES

Lexington County Peach Festival and the Gilbert Community Club in its sole discretion shall have final approval over all products permitted to be sold at the event.

FULL AND COMPLETE APPLICATIONS: We will review applications based on the order in which full and complete applications are received. Priority will be given to vendors who present a level of seriousness, who are makers, follow directions in the application, communicate timely and professionally, and bring something new and interesting to the table. Acceptance is based on quality of product, degree of professionalism, and needs in different festival categories.

Applications will not be considered complete and will not be processed until the following has been received, as applicable. Additional items can be emailed to hello@lexcopeachfestival.com. Please include your Business Name in the subject line.

  • Non-refundable application fee ($10)

  • Vendor fee

  • Copy of your retail license (if applicable)

  • Certificate of insurance

  • Image of vending set up

  • Image of proposed price list

NON-REFUNDABLE APPLICATION FEE: We require a $10 non-refundable application fee for each application submitted.

PAYMENTS: All applications are required to be paid in full at the time the application is submitted. Debit or credit card information will be collected on the application and will be placed on file. Your non-refundable application fee and vendor rental fee will be processed only when your application has been reviewed. If chosen not to vend at our event, your vendor fee will be returned but your application fee will not.

SUBLEASING: No vendor shall sublease, sell, or permit anyone to use their assigned space.

PROHIBITED ITEMS: We strictly prohibit the sale of the following items. Anyone found in violation will be asked to leave and will forfeit your vendor fee. Additionally, you will not be permitted to participate in future events.

  • Items related to alcohol, drugs, or sex

  • Items that are racially sensitive such as the confederate flag

  • Items promoting the use of tobacco, tobacco products, and vapor products

  • Counterfeit goods

  • Silly string

  • Snap poppers and other fireworks

  • Alcoholic products (including beverages)

  • Unapproved food and beverage items

PRODUCT SALES: If you are interested in selling any additional products apart from what has been approved at the festival, please email hello@lexcopeachfestival.com for approval. Selling unapproved items at the festival is not allowed.

MARKET HOURS: The Craft Market is open from 9am - 5pm. Craft Vendors are welcome to stay after 5pm, but may not leave until 5pm. The Food Truck Market is open from 9am - 9:30pm. No food sales will be permitted after 9:30pm.

LOAD-IN INFORMATION AND SPOT ASSIGNMENTS: Load-in information and spot assignments will be provided via email two weeks prior to the event (approximately June 20). Craft Vendors will be expected to be in place by 8am. Late arrivals will not be permitted due to pedestrian traffic. Food & Beverage Vendors will be asked to load in on the evening of July 3rd. VENDOR PARKING: All vendors will be provided a parking permit that allows free parking of one vehicle at the festival. Parking will not be provided near or close to your vendor location. You will be permitted to park temporarily in order to unpack, but then must immediately move your vehicle to the designated parking area.

VENDOR EQUIPMENT: Vendors are not required to use a tent, however if you choose to do so, you must use a straight legged tent. Business name, state retail license, town business license, and prices must be prominently displayed on signage or on individual items. The Peach Festival does not provide vendor equipment. All equipment is the vendor’s responsibility. Extension cords that cut across sidewalks are required to have proper coverings or a rug/mat to ensure the safety of pedestrians. Please be prepared.

WASTE REMOVAL: Vendors are required to dispose of their own waste offsite. Do not leave trash of any kind behind – or you will be permanently removed from future festival events.

WEATHER CONTINGENCY: The Lexington County Peach Festival is a rain or shine event. Refunds will not be given in the event of inclement weather or cancellation of the event.

CONDUCT: Please conduct yourself in a respectable manner suitable for a festival with children and families. The Lexington County Peach Festival is a family-friendly event. Discrimination according to race, color, creed, sex, religion, sexual orientation, age, disability/chronic illness, or nationality is not tolerated, nor is disrespect or harassment toward festival staff.

We reserve the right to remove any signage, vendor, or participant within the festival footprint at any time.

PUBLIC RELATIONS — YOU: Maintain a ‘front-of-the-house’ demeanor at all times during the festival. Study the map in order to let guests know where the restrooms and ATM’s are located. Get to know your police, fire marshals, and festival volunteers. Actively engage on social media, using tags and hash-tags as frequently as possible : #GilbertSC #LexingtonCountyPeachFestival #PeachFestival  -- be sure to tag fellow vendors, too!

SMOKING/INTOXICATION: Will not be permitted at any time.

FIRE MARSHALL/DHEC REQUIREMENTS:

  1. All vendor tents must be properly anchored with NO LESS THAN 50lbs on each tent leg – NO EXCEPTIONS

  2. Banner displays that exceed 3-5 feet above the top of the tent shall be properly anchored as well (no tape).

  3. All food vendors must meet DHEC and Fire Marshal codes, including fire extinguishers AND hand washing/sanitation stations.

  4. Any vendor or concession that utilizes cooking or heating devices shall have a minimum of:

    1. One 2A10BC portable fire extinguisher AND One Class K type portable fire extinguisher if a deep frying operation is in use. The extinguishers must be “in date” with a current inspection tag, (not in need of servicing), visible, accessible, and mounted (not sitting on the ground).

    2. Propane or solid fuel (such as charcoal or wood) are the ONLY approved forms of cooking.

    3. All spent grease must be disposed of through an approved method.

The Fire Marshal will be checking each vendor location for adherence to the proper rules and regulations explained herein.
